Asset Management System & Equipment Identification (Tagging)

Section 5.0 CSU Fullerton Asset Management Policy Manual

 

The following procedure shall be adhered to when capitalized equipment and non-capitalized equipment is tagged and recorded in the CSU, Fullerton Asset Management System:

  1. Asset Management System (AMS):
    1. The Asset Management System is the campus official record for capitalized equipment, including federally funded equipment with a per unit fair market value of $5,000 or greater
    2. Non-capitalized equipment must be recorded either in the Asset Management System or in local campus defined records as indicated in section 2.0 of the CSU Fullerton Asset Management Policy Manual
    3. The information entered into the Asset Management System will include, but is not limited to:
      • Detailed item description
      • Date of receipt
      • CSU Fullerton purchase order number (PO#)
      • Accurate campus location information for inventory
      • Total cost
      • Departmental Asset Record Keeper’s name
      • Other financial information for reporting
    4. The description of equipment entered into the Asset Management System may include:
      • Make
      • Model
      • Manufacturer
      • Serial Number
      • Campus Identification Number (CSU Fullerton Tag Number)
      • Asset Class as needed for capital asset reporting and depreciation
    5. Accurate records are to be maintained as to the Departmental Asset Record Keeper and current location of equipment to allow for inspection and/or inventory purposes whenever necessary
    6. The timing requirements for adjustments to the Asset Management System shall be done within thirty (30) days of the asset status change provided to the Asset Management Office by Campus Departments
  2. Identification of Campus Equipment:
    1. All capitalized and non-capitalized campus equipment (deemed taggable) must be tagged or marked with a unique identification number which is to be recorded in the Asset Management System and also on all applicable property control documents
    2. The Identification Tag Number will be directly applied to the actual unit unless its size or nature prohibits application
    3. Any additional Identification Tag Number required by the department must be applied in a manner that avoids confusion with the CSU Fullerton Identification Tag Number. (Refer to Section 2.7 Equipment Tracking, Tagging, and Inventory Requirements Matrix)
    4. CSU Fullerton property will be tagged before it is distributed to the accepting department
    5. If property is delivered to another physical location other than the CSU Fullerton Shipping and Receiving Warehouse (i.e. directly delivered to campus departments) it is the responsibility of the Departmental Asset Record Keeper or the custodial department to contact the Asset Management Office to coordinate to tag and apply a CSU Fullerton Identification Tag Number to the equipment
    6. If an equipment Identification Tag Number on currently tagged CSU Fullerton equipment becomes destroyed, defaced, or removed, it is the responsibility of the Departmental Asset Record Keeper to contact the Asset Management Office to tag and apply a new CSU Fullerton property Identification Tag Number
